An employment rejection letter is sent from an employer to a job applicant to communicate that they have not been selected for the position. While communicating the hiring decision is the letter’s principal goal, it also helps the candidate move on with their job search and maintains a respectful and positive relationship with the hiring party.

How to Write

Employers should maintain a formal and respectful tone in the employment application rejection letter, while keeping it concise, clear, and courteous.

A letter will be composed of the following four sections:

  • Letterhead: The company name and return address should be placed at the top of the page.
  • Date: Below the letterhead should be the date the letter was written.
  • Rejection: A brief but polite message informing the candidate that they were not selected for the position, followed by an expression of gratitude for their interest.
  • Signatures: The rejection letter will conclude with the hiring manager’s or company representative’s name and signature.
